1. Create a New Outlook Profile
Often the fastest solution:
- Open Control Panel → Mail → Show Profiles.
- Click Add, then create a new profile with a fresh name.
- Set the new profile as your default and configure your email account.
- Restart Outlook and check if the issue is resolved.
Creating a new profile ensures that any corrupted settings from the old profile are completely bypassed.
2. Repair the OST or PST Data Files
If the issue lies with corrupted data files:
- Close Outlook completely.
- Open the built-in Inbox Repair Tool (ScanPST.exe) located in your Office installation folder.
- Browse to your Outlook file location, select the PST or OST file, and start the scan.
- Repair any errors found and reopen Outlook.
A repaired file can restore missing data connections and fix folder lookup errors.
3. Recreate the OST File (Exchange or IMAP Accounts)
If you are using Exchange or IMAP accounts:
- Find your current OST file here:
- C:\Users\[YourUsername]\AppData\Local\Microsoft\Outlook\
- Rename the file (e.g., oldfilename.ost.bak) or delete it.
- Reopen Outlook; it will create a fresh new OST file and resynchronize the mailbox from the server.
This method helps eliminate local file corruption completely.
4. Validate Mailbox Settings
Incorrect mailbox settings can cause Outlook to point to invalid folders:
- Double-check your server address, mailbox name, and Exchange Proxy settings.
- If you're using Office 365, ensure that Autodiscover service is correctly set up and accessible.
5. Run Outlook with Elevated Permissions
Sometimes permission conflicts prevent Outlook from accessing system files:
- Right-click the Outlook icon and select Run as Administrator.
- Try sending/receiving emails to see if the issue persists.
6. Keep Outlook and Windows Updated
Outdated software can introduce bugs and compatibility issues:
- Open Outlook → File → Office Account → Update Options → Update Now.
- Also ensure Windows Updates are fully installed to support the latest Office patches.
Frequent updates patch known syncing and data file issues.
