It’s a network-related issue, often caused by incorrect DNS settings or problems resolving the mail server address.You’ll often see it when trying to send/receive emails or during Outlook setup.

Causes

  • DNS Resolution Issues: Outlook can’t translate the mail server name to an IP address.
  • Incorrect Server Address: A typo in your mail server (like smtp.outlook.com) can trigger this.
  • Firewall/Antivirus Blocking: Security software may be interrupting the connection.
  • Proxy or VPN Conflicts: Network rerouting via proxy or VPN may block Outlook’s access.
  • Corrupt Hosts File: Manually edited or infected system hosts file may misroute Outlook traffic.

Resolution Steps




1. Check Your Internet Connection

  • Ensure you're connected to a stable network. Try opening a browser and visiting a website. If that fails, fix the connection first.

2. Use Google Public DNS

Sometimes switching DNS can solve name resolution problems:

  • Go to Control Panel → Network and Sharing Center → Change adapter settings.
  • Right-click your connection → Properties → Select Internet Protocol Version 4 (TCP/IPv4).
  • Use these DNS addresses:
  • Preferred DNS: 8.8.8.8
  • Alternate DNS: 8.8.4.4

3. Flush DNS Cache

  • Open Command Prompt (Admin) and run: ipconfig /flushdns
  • Then restart your system and try Outlook again.

4. Repair or Reset Outlook Settings

  • Go to Control Panel → Mail → Email Accounts.
  • Check server settings and correct any errors in incoming/outgoing server fields.
  • Use “Repair” under Account Settings if needed.

5. Disable Antivirus/Firewall Temporarily

Security software might be blocking access:

6. Check the Hosts File
